Introduction

The Eurêka language resources database was borne out of a successful collaboration between the creators of the sites Foreignword  and Eurêka. The project was initially trialed from April – August 2001 and was officially launched in September 2001.  

We warmly welcome all collaborators. As an active member of the Eurêka database, you now have the opportunity to participate in a worldwide collection of language databases.  

The Eurêka database allows you to store data with complete control over the choice of words indexed, since it is you who chooses these words. In fact, there is no automated indexer or robot to manipulate the data – it is entirely constructed and managed by volunteer contributors, thus setting it apart from other language directories. 

For example, you can enter the database and get rid of your book-marked pages and take advantage of this opportunity to organize them. You will find them more easily later on, in the form of a detailed record, which is user-friendly for updates, cancellations etc. (see appendix 2). The time taken today to enter data into the database will give you time in the future when you search the Eurêka database and you will easily be able to access your resources, together with those of hundreds of other collaborators who, like you, have entered data. 

Instructions for data capture with Eurêka:  

The Eurêka administrator has given you collaborator status, which enables you to access the data capture base (refer to appendix 1).

Entry into the Eurêka database is carried out according to a record that you must fill out for each resource. This record enables the data to be correctly classified by language, subject area and category. When completing this record, make sure you register the most relevant information, in other words, information that will enable a specific resource location during a search. 

Please note that for the moment the two Eurêka interface languages are English and French. However, it is possible that some interface wording or descriptions may be in a language other than the one you have chosen, given that we are currently having the texts translated. In these instructions, we have highlighted the English and French interface wording in bold, as it will appear when the translation is complete.

This is how to enter data into the database:

  • 1- To access the French version of the database, click on this link:

    The language identification flags on the top left-hand corner of the screen also allows you to choose your interface language.  


  • 2- Click on the link Member login/Ouvrir session which can be found under the section Experts/Experts on the left hand side menu.

  • 3- Login with your User Name/Nom d'utilisateur and Password/Mot de passe as appropriate and click Go/Valider

    COMMENTS

    o Your login identification will be what you input when you registered. 

    o When you have logged in, Eurêka will recognise you as an official collaborator and your name will appear on the menu on the left hand side under User/Usager.

    o For security reasons, collaborator mode will automatically logout after a period of inactivity. You will then need to login again. Refer to points 1, 2 and 3 above for login information. 

    o If you forget your login details, you can obtain them by sending an email to: eureka@foreignword.com or cloutier@aidda.zzn.com

  • 4- Click on the tab Experts/Experts (on the top right of the screen) to see the collaborators’ interface which gives access to the advanced search form. This contains several filters that can be combined to carry out more specific searches. See below for a description of available search filters for Experts.

  • 5- To add a record to the database, click on Add record/Ajouter une fiche on the left hand side menu under the section User/Usager.  

  • 6- A data capture file called Create new record/Création d'une nouvelle fiche will appear in a pop-up window. For further information refer to example of this file and a description of its fields.

    IMPORTANT!
    Before adding a new record to the database, always check that it is not already in there, as follows:

    Enter the URL address in the field Url/URL and click on the button Check if already in database/Vérifier si la fiche est dans la base. If the resource is already in the database, a pop-up window will inform you of this, and will also show the resource details, together with the hyperlink View details/Voir les détails.  To see the record in detail click on this link, which will bring up another pop-up window called View Record/Visualisation de la fiche, which contains the link Edit/Modifier (on the top right). To modify the record, click on this link. Another window entitled Edit Record #/Modification de la fiche # will appear and will enable you to make changes. Remember to save any changes to a record (Save/Sauvegarder button.)

  • 7- If the record is not in the Eurêka database you are also informed of this after clicking on the link Check if already in database/Vérifier si la fiche est dans la base. After this, close the pop-up window by clicking Close Window/Fermer la fenêtre and complete the fields in Create new record/Création d'une nouvelle fiche as appropriate. The following fields are compulsory: Title/Titre, Url/URL, Languages/Langues,  Category/Catégories and Domains/Domaines

  • 8- Once you have filled in the fields on Create new record/Création d'une nouvelle fiche, click Save/Sauvegarder to index it. If a compulsory field has not been filled in, the interface will refuse to save the record. 

  • 9- After saving, another page will be displayed, containing the links View Record/Visualisation de la fiche and Add new record/Ajout d'une nouvelle fiche which allow you to either see the newly created record, or to create another one.

  • 10- To modify or correct a record that has just been saved, click on the links View record/Visualisation de la fiche and Edit/Modifier. Make your corrections and click Save/Sauvegarder.

  • 11- All the records can be modified if necessary. To modify a record, make sure you are in collaborator mode (Member login/Ouvrir session) and enter the query in the research engine to find the file that you wish to modify. Click on Edit/Modifier found under the resource description in the research record. The pop-up window Edit record #/Modifier la fiche # will appear. Make your corrections and click Save/Sauvegarder.

Comments and advice for data entry

· Decode any acronyms.

· To say <<To find out more...>> followed by a URL address can be added in the Description field if there are more than 2,000 characters of text (the Description field cannot contain more than 2,000 characters). Note that URL addresses and email addresses are automatically hyper-linked in the record fields.

? As far as possible, please indicate all languages (please see the pull-down "Langues" menu) featuring in a resource. The option Toutes les langues may be selected, or one, two, three etc languages separately. Use the command CRTL + the left mouse button to choose several languages from the pull-down menu; on a MAC: apple + mouse click.

Write down the resource title.

Enter resource URL address.

Languages/Langues -> Main languages/Langues principales - Additional Languages/Langues additionnelles
The pull-down menu Main languages/Langues principales contains the most commonly used languages and the pull-down menu Additional languages/Langues additionnelles contains other languages.
METHODE OF EXTRACTION: several languages may be chosen, by pressing CRTL + and the left mouse button, or with a MAC, apple + mouse click to select or deselect one or other of the languages from the pull-down menus.

· NOTE:
Sharing the languages between two pull-down menus is intended to make data capture easier: however, they are from the same field.

Description/Description
Write a personal commentary to describe the resource or refer to the link <<About/À propos>> that summarises the content very well.
SUGGESTED METHODE OF EXTRACTION: copy and paste.

· NOTE:
If you are not able to describe the resource, fill in <<To be completed/À compléter>>, the Description field, which must be filled in to enable the record to be saved.

Keywords/Mots clés
Enter the words that do not feature in the description or the domain lists and separate them with a comma.
EXAMPLE: sensors, circuits, remote sensing.

· NOTE:
As far as possible, enter into the field Keywords/Mots clés languages other than the main language of the record. For example if the file is written in French, the keywords «sensor», «remote sensing», «captador», «teledetección», etc. can be added. Adding words in foreign languages enables the Eurêka database to be used to find a record even if it is not written in the user’s mother tongue.

Category/Catégories
The purpose of this field is to classify data according to language criteria that give priority to the most important resources. Category/Catégories can be found in the pull-down menu on the left, after the item Category and Domains/Catégories et Domaines: only one category can be selected.
SUGGESTED METHOD OF EXTRACTION: to select a category, scroll down the menu on the left and single-click on the chosen category.

NOTES:

· A terminology bank has, for a language, a greater value than a mere monolingual glossary, and will initially be displayed on the search results page, hence the importance of choosing the correct category.

· Categories followed by a double asterisk (**) must be combined with a Domain/Domaine in the pull-down menu on the right.

Domains/Domaines
The purpose of the domains is to describe the resource speciality. Categories followed by a double asterisk (**) must have a domain. At the moment, only one domain can be selected, which is why it is important to choose the domain which best describes the resource.
METHODE OF EXTRACTION: to select a domain, pull down the menu on the right and single-click on the required domain.

This field is filled in if the Description field contains a resource evaluation review that was not written by you, or does not come from the site.

· NOTE:
There are many news reports on the Internet that are signed by researchers or similar who review sites. If you copy a review text that was written by someone else, please indicate the source (writer’s name, URL and so on) in the field.

Description of Experts’ research form filters

Below is a description of available filters in the Experts research form. By using a given filter or by combining several, you can carry out more specific searches.

· Search in: All text Title Url (www.)/Recherche dans :  Tout le texte / Titre / URL (www.)
To search the whole record, the title or the URL address.

· Languages/Langues  
To restrict the research to specific source and target languages (for glossaries).

· Date filter: All last 14 days last 7 days last 2 days/ Filtres de dates : Toutes /  depuis 14 jours / depuis 7 jours / depuis 2 jours
To search in resources added to the database in the last 14, 7 or 2 days.

· Author/Auteurs :
The names of all the collaborators appear on the pull-down menu entitled Auteurs. Your name should appear on this list. By selecting your name and clicking Rechercher you will have access to all the records that you have entered in the database.

? Search all Eurêka:  Select categories/ Sélection des catégories
The list of categories can be found under Sélection des catégories and allows a Yahoo style, hierarchical research by combining Catégories and the specialist resource domains. 

EXAMPLE OF POSSIBLE HIERARCHICAL RESEARCH: 
In the Références section, click Banques de terminologie, then click Agriculture followed by Rechercher. If no keyword has been entered in the research field, this option enables you to find all the terminology banks that deal with agriculture.
